SZF, DepositOnce, TUB-DMP

What is SZF?

In the Service Center Research Data Management (SZF), the University Library, the Center for Campusmanagement (ZECM) and the Research Department cooperate to jointly organize research data management at TU Berlin.

SZF provides the following services:

  • The DepositOnce repository for storing research results
  • The web tool TUB-DMP for creating data management plans
  • The SZF website which serves as a central access point for information about research data and publications,
  • A range of advisory and support services offered by the SZF team.

Working closely with pilot partners and research projects, SZF develops tools and procedures to create solutions and added value services adapted to the needs of researchers.

What is DepositOnce?

DepositOnce is TU Berlin’s institutional repository for the long-term storage of research data and publications from a wide range of disciplines.

DepositOnce is the technical core of the research data infrastructure. The University Library is responsible for the operation and conceptional development of the software as well as for the sustainable management of data. The Center for Campus Management (ZECM) is responsible for the stable and reliable technical operation of DepositOnce. DepositOnce  is integrated into TU Berlin’s IT infrastructure and security concept; data is stored at two locations to provide a backup and is regularly secured.

Technical Support for the data management plan - what is TUB-DMP?

With the web tool TUB-DMP, we support you in creating data management plans.

A data management plan (DMP) documents the context in which research data were generated and describes how research data is handled. It contains details concerning the principal investigator, the title of the project, funding organization, the type and size of the research data generated, how the data is stored, etc. This information is particularly useful for enabling the reuse of research results in the future.

The EU’s Horizon 2020 funding program requires the creation of DMPs. TUB-DMP meets the requirements of Horizon 2020, including versioning.

Which types of data are stored in DepositOnce?

Research results are stored in DepositOnce, i.e. research data and publications. 

In this context, research data means consolidated data, i.e. analyses and/or data required for the verification and reproduction of research results such as consolidated data, scripts, time recording, calculations, etc.

(Raw) research data arising from everyday work is not stored in DepositOnce.

What does the service cost?

The service itself is free of charge. There may be costs for storage space.

For each academic chair, 100 GB of storage space are free of charge. Additional storage space can be acquired from the Center for Campusmanagement (ZECM):
A one-off payment
for 10 years of €3,500 for 1 TB including data backup.

As research results (i.e. consolidated data) are stored in DepositOnce, the required storage space is generally kept within narrow limits. Some comparative figures:

  • On average, the research data sets in DepositOnce have a size of less than 1 MB.
  • Hitherto, the largest data has a size of 14 GB, the smallest research data set has a size of 0.1 MB.
  • In comparison, the size of PDF files (publications): 10,000 PDF files require a storage space of nearly 100 GB.

Where appropriate, costs for storage space can be requested from the funding organization when submitting an application. The Staff in the Research Department can advise you on this.

Who can use the services of SZF?

DepositOnce and TUB-DMP can be used by all members of TU Berlin.

Scientific partners involved in collaborative projects where TU Berlin is the host university may also save their research results in DepositOnce.

What are the benefits of using SZF and its services?

SZF offers researchers at TU Berlin a range of sustainable, stable and reliable services: In the SZF team you have direct contact persons to answer your questions and you will receive individual advice and information on the publication of your research data as well as immediate assistance with any problems which may arise. In addition, you benefit from the added value services developed by SZF in collaboration with pilot partners from the academic chairs. These services are continually updated to better reflect user requirements.

The DepositOnce repository functions as a service platform and supports the entire process of the research data lifecycle with automated workflows.

  • Your research results will be safely stored for the long term and assigned internet addresses (DOIs), both for publications and research data.
  • A particular added value is the increase in the impact of your work created by your research being citable in the future.
  • Linking research data and publications ensures a higher degree of transparency and reliability of research results as well as a broader dissemination (e.g. in Google Scholar and other databases) to ensure a higher visibility.
  • Among the benefits this opens new opportunities to find partners for scientific collaboration and for future projects.
  • By storing your research results in DepositOnce, they are searchable, verifiable, interoperable and reusable and comply with the FAIR principles (Findable, Accessible, Interoperable, Reusable).

The TUB-DMP web tool facilitates the creation of a data management plan through a step-by-step workflow and reduces the effort by pre-filled fields. TUB-DMP supports you in a comfortable way to meet the requirements of creating a data management plan specified by programs such as Horizon 2020.

The facilities of TU Berlin that cooperate in SZF (the University Library, the Center for Campusmanagement and the Research Department) are set up on a permanent basis. They ensure that the operation and further development of the services are guaranteed in the long term.

Should I use DepositOnce if there is a specific repository for my discipline?

If there is a specific repository in your discipline, we recommend to use it. 

Discipline-specific repositories usually offer more specific indexing and search options (e.g. through the use of discipline specific metadata schemas) than than an institutional repository such as DepositOnce.

When choosing a discipline-specific repository, you should consider criteria such as regular backup cycles, data security and sustainable services. Please contact the SZF team with any questions you may have.

What is the software of DepositOnce and TUB-DMP based on?

DepositOnce is based on the open source software DSpace, globally the most widely used repository software.

TUB-DMP was developed by TU Berlin University Library. The source code is published on GitHub.
